What Causes QuickBooks Multi-User Error H202?

If you are getting error code H202 when switching to multi-user mode, multiple factors could be responsible. Here’s a list of these factors:

  • Hosting might be turned off on your server computer
  • Incorrectly configured Windows firewall settings
  • Damage or corruption to the company file or issues in the network
  • QuickBook services might not be running or do not have the proper admin rights
  • Damaged or corrupted .ND and .TLG files
  • QB Database Server Manager might be outdated
  • Some unknown issues with the company file or QuickBooks program

After getting familiar with the causes, check out the prerequisites mentioned below that need to be fulfilled before you switch to multi-user mode.

Prerequisites Before Hosting Multi-User Access

Before you follow the troubleshooting methods to fix QuickBooks Desktop error H202S, review if hosting is enabled and ensure the Database Server Manager is running; here’s how:

1. Check if hosting is enabled on your server computer

Follow the instructions below to enable multi-user access in QuickBooks:

  • In QuickBooks, go to the File tab.
  • Choose Utilities from the dropdown menu.
  • Then, click on Host Multi-User Access.
  • Click Yes on the prompted window to confirm.

2. Ensure QuickBooks Database Server Manager is running

If you haven’t already installed Database Server Manager on your server computer, it is suggested that you install it on each version of QuickBooks you use.

    • Exit all the open programs on your computer, including QuickBooks.
    • Check and ensure that your computer has an active internet connection.
    • Locate the QuickBooks program Setup_QuickBooks.exe file and double-click on it to begin the installation.
    • Choose Custom and Network Options and then click Next.
    • Now, select one of these options as per your preferences:
    • I’ll be using QuickBooks Desktop on this computer AND I’ll be storing our company file here so it can be shared over our network to install QB on a server to host the company files on the same computer.
    • Click Next twice to start the installation.
    • To save the program to a different location, select Change the install location and then click Browse to choose where you want to get the program installed.
    • When it’s done, select Open QuickBooks.

Here’s How To Run the QB Database Server Manager from the Tool Hub

Now that you have installed the Database Server Manager on your server computer let’s run it from the Tool Hub to ensure you can share your company file over the network with other computers.

Step 1: Download and install the QuickBooks Tool Hub

QuickBooks Tool Hub is an all-in-one diagnostic hub that provides access to multiple tools, such as the Database Server Manager, File Doctor, and more, to fix related issues.

    • Exit QB Desktop.
    • Go to Intuit or click HERE to download the most recent version (1.6.0.3) of Tool Hub.
    • Now, save the file to a location you can easily access, such as your Download folder or the Windows desktop.
    • Open the file (QuickBooksToolHub.exe) you recently downloaded.
    • Follow the on-screen instructions to install and agree with the product’s terms & conditions.
    • When the installation is complete, double-click the Tool Hub icon on the Windows Home screen to open it.
    QuickBooks Tool Hub

Note: If you don’t find the icon, search for the QuickBooks Tool Hub in the Windows search and then open it.

Smart way to search QuickBooks Tool Hub

Step 2: Run QuickBooks Database Server Manager

To configure the multi-user access in QuickBooks, you need to run the QuickBooks Database Server Manager. Otherwise, you might encounter error H202 or other multi-user errors.

    • In the Tool Hub, go to the Network Issues tab.
    • Choose the QuickBooks Database Server Manager option. If QuickBooks Desktop isn’t on your server computer, you will be prompted to install it.

Now, if you see your company file folder in the Database Server Manager, select Start Scan. If you don’t, click Browse and locate the company file folder, then click Start Scan.

Scan your company files to ensure other computers can connect
    • Running the tool will also fix the Windows Firewall permissions automatically. Once the scan finishes, click Close.
    • Once done, launch QB on each workstation where you see error H202. Go to File>Utilities>Switch to Multi-Usermode. If you use a server computer as a workstation, check it too.

Step 3: Run QuickBooks File Doctor

Running the QuickBooks File Doctor will help you fix the company file or network issues that might be preventing you from switching QuickBooks to multi-user mode.

    • Launch QuickBooks Tool Hub using its shortcut icon on the desktop.
    • From the left pane of your screen, choose Company File Issues.
    • Click on Run QuickBooks File Doctor. It might take some time to open; wait until then.

Note: If the File Doctor doesn’t open, search for it manually in the Windows search and then open it.

    • From the dropdown menu, select your company file. If you don’t see the file, click Browse and then find the file.
    • Choose the Check your file and Network option and then click Continue
    • Finally, enter the QuickBooks admin password and then hit Next.

Now, you might see “QBDBMgrN was not running on this computer” after running the File Doctor scan. This issue often stems from damaged or corrupted *.QBW.TLG and *.QBW.ND files.

Renaming these files will help you get rid of the error message and error code H202 when switching to multi-user mode.

    • Search for your company file folder and open it.
    • Find the file with the same name as your company file with the .ND and .TLG extension at the end:
      • company_file.qbw.nd
      • company_file.qbw.tlg
    • Now, right-click each of these files and select Rename
    • Finally, add .OLD at the end of the file names, such as company_file.qbw.nd.OLD.

If you can switch QuickBooks to multi-user mode without any issues, error code H202 is fixed. However, if you still see the error, conduct the troubleshooting methods in the next section.

Troubleshooting QB Error H202 When Opening the Company File

Below, we have listed the detailed procedure for resolving QuickBooks error H202. Follow the steps in the same order, or contact us if you have a query.

    1. Check the services on your Server

To work seamlessly in hosting mode, you must run the QuickBooks services on your server computer. Follow the instructions below to check if QuickBooksDBXX is running, and then repeat them for QBCFMonitorService.

      • Press the Windows key to open the Windows Start menu on your server computer.
      • In the search bar, type Run and then choose it in the search results to launch the Run program.
      • Type services.msc in the Run prompt and then press Enter.
      • Find QuickBooksDBXX in the list of QB services and double-click on it.

Note: XX states the year version of QB. For example, QuickBooks 2023 is QuickBooksDB33.

      • From the Startup type: dropdown, choose Automatic.
      • Now, ensure the Service status is either Started or Running. If it’s neither, click Start.
Check the services on your Server
      • Move to the Recovery tab.
      • Select Restart the Service from the dropdown menus for the First failure, Second failure, and Subsequent failure.
Continuing process of checking the services on your Server
      • Now, click Apply and then hit OK to save these changes.
      • Repeat the above steps for QBCFMonitorService.

Once done, re-attempt to switch your QuickBooks to the multi-user mode. If the QuickBooks H202 error persists, follow the next solution.

      2. Give services the Windows admin rights on your server

If QuickBooksDBXX and QBCFMonitorService are running without admin permissions on your server computer, you won’t be able to host company files over the network. Hence, you must add them to the Windows admin group to give them the proper rights required to share the company file on the network.

        Setup folder permissions

Verify that permissions are set correctly

        • Open the File Explorer on your computer.
        • Find the folder that has your company file and then right-click on it.
        • Choose Properties and then move to the Security tab.
        • Now, select Advanced and then click on QBDataServiceUserXX.
        • Now, click Edit and then set these settings to Allowed:
          • Traverse Folder/Execute File
          • List Folder/Read Data
          • Read Attributes
          • Read Extended Attributes
          • Create Files/Write Data
          • Create Folders/Append Data
          • Write Attributes
          • Write Extended Attributes
          • Read Permissions

In case permissions aren’t set correctly:

        • Right-click on your company file folder and then choose Properties.
        • Move to the Security tab and then select Edit.
        • Choose QBDataServiceUserX and click Full Control. Then, select Allow.
        • Finally, click Apply and then click OK.

Now, repeat the same steps for QBCFMonitorService.

        Change folder permissions

Follow these steps if you need to change or modify the folder permissions:

        • Open File Explorer on your computer.
        • Find and right-click the folders listed below:
          • C:\Program Data\Intuit\Entitlement Client\v8
          • C:\Program Data\Intuit\Entitlement Client\v6.0
          • C:\Program Data\Intuit\Entitlement Client\v5
          • C:\Program Data\Intuit\Entitlement Client\v3
          • C:\Program Data\Intuit\Entitlement Client
          • C:\Program Data\Intuit\QuickBooks Enterprise Solutions X.0 (X = version) or C:\Program Data\Intuit\QuickBooks 20XX (XX = year)
          • C:\Program Data\COMMON FILES\INTUIT
          • C:\Program Data\COMMON FILES\INTUIT\QUICKBOOKS
          • C:\Users\Public\Public Documents\Intuit\QuickBooks\FAMXX (XX = year)
          • C:\Users\Public\Public Documents\Intuit\QuickBooks\Company Files
          • C:\Users\Public\Public Documents\Intuit\QuickBooks\Sample Company Files\QuickBooks Enterprise Solutions X.0 (X = version) or C:\Users\Public\Public Documents\Intuit\QuickBooks\Sample Company Files\QuickBooks 20XX (XX = year)

Now, follow the steps below to change the permissions for the folders listed above. Also, remember that you might not have all these folders, as some of them are specific to certain versions of QuickBooks.

        • Right-click any folder and then choose Properties
        • Move to the Security tab and select Everyone.

Note: If you don’t find the Everyone option in the Group or User Name checkbox, select Add and type in Everyone. Then, click OK.

        • Choose Full Control.
        • Now, click Apply and then hit OK to save the changes.

Configure the Windows access permissions for company files

Ensure that QuickBooks has the right level of permission to share the company file over the network to prevent future issues.

        • Press Windows + E to open Windows File Explorer.
        • Locate and right-click on your company file folder. Then, choose Properties
        • Now, go to the Sharing tab.
        • Then, click on Share Add and choose the corresponding version of QBDataServiceUserXX.
        • Configure permission for both users to have Full Control and then select Share

Are you still getting the error H202 when opening your company file? If yes, follow the next troubleshooting solution.

        3. Temporarily disable the Firewall or other security applications

While Windows Firewall is essential for computer protection, it can sometimes block QuickBooks from functioning in multi-user mode. Therefore, it’s advised to temporarily disable it and any other security applications when attempting to switch QuickBooks to multi-user mode.

Important Note: To discover the steps to turn off your antivirus, visit its official site.

Follow these steps to disable the Firewall on your computer:

          • Open Settings on your computer.
          • Click on Update & Security from the left pane of your screen.
          • Now, go to Windows Security and then click on Firewall & network protection.
          • Choose your network profile: Domain network, Private network, or Public network.
          • Switch the setting to Off under Microsoft Defender Firewall.
          • Now, try to open your company file in the multi-user mode.

If you can open the company file, it means you need to configure the Windows firewall settings for QuickBooks, as disabling the firewall makes your computer vulnerable to malicious infections.

          4. Configure the Firewall settings on your server

If Windows firewall settings are not configured correctly for QuickBooks, the firewall might perceive your QB program as a threat and block its operations. To ensure QuickBooks isn’t blocked on the server, configure the Windows firewall settings and allow access.

Once it’s done, launch QuickBooks on your workstations. Go to File> Switch to Multi-user Mode.

If QuickBook error H202 continues to appear, conduct the troubleshooting method provided below.

            5. Ping the server computer from a workstation

When you ping the server from the workstation, it runs a test to determine the connectivity between both. Therefore, you must ping the server from each workstation you are getting error H202 on to ensure it is properly connected to the server computer.

First, turn ON the Network Discovery on your server computer and other workstations getting the error.

              • Open the Windows Start menu on both server and workstations.
              • In the search field, enter Network and choose Network and Sharing Center in the search results.
              • Click on Change advanced sharing settings.
              • Ensure the Turn on Network Discovery option is selected in the Network Discovery and File and Printer sharing sections.

Get the Server name from your server

              • Go to your server computer and open the Windows Start menu.
              • In the search field, type Run and choose the Run application in the search results.
              • Type CMD in the Run window and then press the Enter key.
              • In the CMD window, type ipconfig/all and hit Enter.
              • Move to the Window IP Configuration section and find the Host Name. You will find the server name on the right.
              Process of Window IP Configuration
              • Note down the hostname or copy it to a Word document for easy access.

Now, move back to the workstation on your server. If you find these steps complex, you should reach out to an IT professional for help.

              • On your workstation, open the Windows Start menu.
              • Type Run in the search field, then open it.
              • Enter CMD into the Run prompt and then press Enter.
              • Now, type ping [your server name] and hit Enter. Do not enter the server name in brackets.
Process of ping your server name
              • Finally, repeat the above steps for each workstation where you get error H202.

Still can’t open your company file in multi-user mode? Continue following the next solution.

              6. Clean install QuickBooks Desktop

Reinstalling QuickBooks will automatically create new folders and rename the old ones.

Before installing the program, ensure your computer fulfills the system requirements for the QB version you use.
