Single-user mode has one QuickBooks Desktop installed on one computer with the company file stored on the same computer. However, in multi-user mode, many QuickBooks Desktop users, with the QuickBooks Desktop application installed on each of their systems, work on a common company file hosted by the host computer (also called server).

It is important to know the difference between these two modes, as QuickBooks needs QuickBooks Database Server Manager to be installed for you to be able to work in multi-user mode. Therefore, when you download and install QuickBooks Desktop, you need to tell it that you will be using QuickBooks Desktop to host the company file in multi-user mode.

How to Download and Install QuickBooks Desktop

Check Minimum System Requirements

QuickBooks Desktop comes with specific system requirements that your system must meet for it to work smoothly. If your computer doesn’t meet the minimum system requirements, QuickBooks Desktop might lag, freeze, crash, or not open. Download QuickBooks Desktop

Download the QuickBooks Desktop and save the setup file somewhere you can easily access. When you download QuickBooks Desktop, specify whether you will use QuickBooks Desktop to host the company file in a multi-user network.

Install QuickBooks Desktop

After you purchase the QuickBooks product, keep your license number and other details. If you bought QuickBooks Desktop online through the website, you will receive these details in your registered email.

  • Go to where you save the setup file (QuickBooks.exe).
  • Double-click on the setup file and open it.

  • Plan to use QuickBooks on one computer and not as part of a network of computers.

Here is how you can Express Install QuickBooks Desktop:

  • Tap on Express, followed by Next.
  • Choose Install.
  • When done, tap on Open QuickBooks.

b.      Custom and Network Install

You need to Custom and Network Install if you:

  • Wish to install QuickBooks somewhere other than the default location (such as on a server).
  • Want to host your company files on a server.
  • Have a multi-user network.
  • Tap on Custom and Network Options.
  • Choose Next.
  • Now, choose precisely what you want to use QuickBooks for because QuickBooks will only install the required components for it.
  • Now, tap on Change the install location.
  • Tap on Browse.
  • You need to choose where you wish to place your QuickBooks folder, such as in the Programs folder in Local Drive C.
  • Tap on Next. This will start the installation.
  • Once done, tap on Open QuickBooks.

Activate QuickBooks Desktop

Once you are done installing QuickBooks Desktop, the next step is to activate it. Here is how you can activate QuickBooks Desktop:

  • Open QuickBooks Desktop.
  • Tap on the Help menu.
  • Choose Activate QuickBooks Desktop.
