Are you unable to open the QuickBooks company file because the access is denied? Perhaps you see this error message on your screen:

“You do not have sufficient permissions to the specified folder.”

Reasons Why You Can’t Access the Company File

There are a few possible reasons why you can’t open the company file in QuickBooks Desktop, such as:

  • The company file is present in a folder or drive that is restricted
  • QuickBooks doesn’t have the required folder permissions
  • Folder where company file is present is corrupt or damaged
  • The company file is located in a protected folder in C:// Drive or Program Files of Windows

Let us see how to fix the access denied issue in QuickBooks Desktop when you open the company file:

1.     Run QuickBooks File Doctor

QuickBooks Tool Hub, as the name suggests, stacks a variety of tools that help you to fix common issues in QB Desktop. To run QuickBooks Desktop, you need QuickBooks Tool Hub. Follow this guide on how to run QuickBooks File Doctor to fix company file issues.

Now, check if you can open the company file. If the access denied issue persists, continue to the next step.

2.     Set QuickBooks to Run as Administrator

  • Close all the open windows of the QuickBooks Desktop application.
  • Right-click on the QuickBooks Desktop icon. Tap on Properties.
  • Go to the Compatibility tab.
  • Choose Run this program as administrator.
  • Tap on Apply.
  • Select OK.

Check if this resolved the access denied issue.

3.     Copy the company file to the default location

If the company file has been moved to another location, you will need to move it back to the default location. Here is how you can do that:

  • Close all the open windows of the QuickBooks Desktop application.
  • Go to the current location of your company file. (If you are unsure about the present location of the company file, you can click on the start menu and search with your company name. The company file will have the same name as your company and a file extension .qbw)
  • Right-click on the company file (.qbw).
  • Tap on Copy.
  • Now, go to the default location where the company file should be present. Right-click on empty space and select Paste. (Default Location: C://Users/Public/PublicDocuments/Intuit/QuickBooks/Company Files)
  • Now, open QuickBooks Desktop. Open the company file from the default location.

See if you can access the company file now without an issue.

4.     Create a New folder and Store Company File There

If the previous methods didn’t fix the issue, and you continue to be told that QuickBooks’ access to the company file is denied, the problem might lie in the company file folder.

Let us now create a new folder for the company file.

  • Go to the directory where the company file is present and create a new folder there.
  • No, go to where your company file is on the present and copy it.
  • Paste it to the new folder you just made.
  • Set up the folder permissions to share company files.

Now, let us open the company file from the new location.

  • Tap on the File menu, and choose Open or restore a company.
  • Click on Open a company file.
  • Tap on Next.
  • Navigate to the new folder you made a while ago and select the company file.
  • Tap on Open.

5.     Test and Set folder permissions

If nothing works, the last thing you can do is test and set folder permissions.

  • Open applications such as Microsoft Word or Notepad.
  • Type Test.
  • Now, save this test file to the location where your company file is present.

If the test file doesn’t encounter an issue and saves normally, the folder permissions are correct. If you can’t save it, you will need to set up the folder permissions correctly.
